Minutes 9/1/20
Jacob got access to the Flicker. We are going to have a full JCL meeting next Thursday, September 10th at 2:10pm, with a scavenger hunt and other Latin games. Kayla will release Lorica on that day and she will send Claire a graphic for instagram. Sonia will make a scavenger hunt with Magis. Ms. Jordt and Magis will send emails about the event through canvas.
Claire will make more sticker designs with more humor. Jacob will put pictures of the 2019-2020 school year scrapbook on the website. Lucas will send out proposed bylaw changes for us to read. We will vote on the bylaws next week. Ahna will make sure that JCL makes it into the yearbook for next year. Magis, Sonia, Ahna, and Ms. Jordt will look at the Blue Book in more depth.
Minutes 8/25/20
Welcome to the 2020 school year! We started by discussing the rates for dues. We think $6 might be a good amount because there are less expenses this year. At the same time, we have less ways to raise money. Usually waffle sales and classroom food cover a large part of outreach. We brainstormed some ideas for raising money. There is mixed information on whether or not the school will allow us to do a bake sale. We could also try a raffle. We could also make masks to sell. Claire suggested we sell pre-packaged snacks like the ones we have in Latin class. If anyone has any ideas, send them to Claire or put them in the agenda.
Do we need t-shirts? The dues would not include the t-shirt, we would have to charge more when we make/sell them. One name was misspelled on the National Honors Society certificates. Magis will get another one from NJCL. Jacob will post pictures of the four award winners for the NLE on the Flickr.
Kayla needs another week to finish the Lorica. Magis left suggestions for her in the Agenda. Claire is going to start posting regularly on the JCL Instagram page and Twitter. She wants everyone to take photos of their first day of Latin class. Magis and Ms. Jordt will do that and send them to her. Last year we used StickerMule to make the stickers. Claire will come up with sticker designs for next week, and figure out how to distribute them.
We are wondering how to stay involved with the Shelter. Evan thinks we should continue tutoring to supplement virtual schooling with . Parties are more challenging if we can’t find more ways to fundraise. Sonia suggested an online movie night. We also might want to provide Halloween costumes, but it might not make sense if kids aren’t trick or treating. We can figure that out closer to October.
Annika and Cate will look for online scrapbooking platforms. Lucas read the Constitution and bylaws, and will contact Claire to brainstorm new ideas and make sure the language applies to virtual learning as well.
Sonia and Claire will write up a review on the National Convention for the Lorica. Ahna will write a greeting for the counsels. Kayla will reach out to the graduated JCL members to have them write a bio. All due by Saturday, August 29th.
Minutes 6/2/20
Nationals is happening from July 24th to 29th online. Pre-convention deadlines are on July 1st. There are still convention contests, service projects, and fellowships. More information can be found on the NJCL website. You can register now, although one can request a refund soon before the convention starts. There was a discussion about how to publicize the convention. Sonia mentioned that there was a flyer which could be posted on the Instagram account. Mrs. Vasquez also mentioned asking Mr. Morris to publicize it to his classes and talking about it at the banquet. She also mentioned that it would be important for us to study how a virtual convention is held, in case we need to do a virtual convention for States or Nationals in 2021. Claire shared this link with the rest of the Board with details about the Convention. Also, Ethan reported that the new issue of the Torch came out.
The Lorica is almost done. Kayla was asked to include a brief summary of Nationals in the Lorica to encourage individuals to attend. Mrs. Vasquez also asked Peridot to make sure that this year’s editions were submitted to the National contest, and Peridot agreed that she would look into it. Ethan brought up the farewells in the Lorica. Kayla reported that only one person had submitted one, and agreed that she would send out a reminder email for these articles to be submitted by 10:30am on Friday, June 5.
Mrs. Vasquez gave a few miscellaneous updates, including by noting that she had reached out to the organizers of the National Latin Exam. Although they have not been able to print any awards due to the COVID-19 pandemic, Mrs. Vasquez was able to report that two students had received Gold Medals for 4 and 5 consecutive years each. The full results will be announced on Friday, June 5th at the banquet.
Afterwards, we discussed the aforementioned banquet. Sophie sent out an invite last week and agreed to send out a reminder email. Mrs. Vasquez delivered the pig to Morgan for the banquet, and he stated that he had prepared the innards (although he was exhorted not to share his plans). Sophie asked that she be provided with the list of award winners so that pictures could be more easily taken (by setting up Zoom breakout rooms in advance). Mrs. Vasquez agreed, and Lindsey was asked to take photographs of these award winners so that she could easily put them in the scrapbook. Mrs. Vasquez said that we needed to get pictures of the scrapbook onto the Menlo JCL Flickr, and invited Lindsey to ask Jacob to do that. Ethan asked whether we could dispense with the traditional reading of colleges by each senior. We agreed that Mrs. Vasquez would state where each senior is going to college. She noted that a number of parents are interested in this and Kayla noted that the information is already in the Lorica, so we agreed that this was a suitable compromise.
Mrs. Vasquez said that she had gifts for each of the seniors and there was a discussion about how to distribute them. She had hoped to hand them out during a senior photo ceremony, but Victoria noted that that might not be possible. Mrs. Vasquez then agreed to talk to Mrs. Kelly, and decided that in the worst case, she would deliver them to each student’s house.
Lindsey reported that the scrapbook was done and asked how she could deliver it to Mrs. Vasquez. Lindsey did report, however, that she was not able to make a cover as Michael’s, as they shut down for fear of looting. Mrs. Vasquez asked whether our publicity awards were included; it was reported that they were not included, and Mrs. Vasquez asked that this be arranged. She also suggested that the awards be posted online on our Flickr account.
Finally, Magis thanked all of this year’s Board and paid particular tribute to the seniors. She noted that this was the last meeting of this Board; however, there will be meetings in the summer to help plan State Convention. Additionally, a treasurer still needs to be found.
Minutes 5/26/20
Today we are discussing the logistics of the banquet. The seniors are in charge. This morning, Victoria, Sophie, and Magis met to discuss the time/date. The banquet is happening at 5pm on Friday, June 5th. We talked about the pros and cons of 5 and 6pm, and decided on 5pm. Morgan will do the sacrifice. Magis will get the pig from school and deliver it to him. He will wear the formal dress with his head covered. Morgan will decide what funny thing to put in the pig. Ethan and Soda will perform a musical piece for entertainment. Magis asked if there was anyone else willing to perform. Victoria will text Peridot if she is willing to sing. We asked Jacob if Lindsey could send in pages of the scrapbook to show at the banquet. Ahna is in the progress of making a 5-10 minute slideshow. The officers will wear their togas.
Kayla will put a picture of Jen, the new Latin teacher, with a blurb about her, in the Lorica. She said it will be done this week. Magis said it just needs to be done by June, 5th, for the banquet. The seniors need to send in a picture and a bio about where they are going to college. Kayla will send out another reminder. Jacob will say something about Mr. Morris at the banquet, and he sent in a tribute to Kayle for the Lorica.
Claire has not heard any more about Nationals, but some new information came out about the scrapbook competition, which Jacob and Lindsey should look at.
Sophie is going to make Claire in charge of the JCL Facebook page.
Everyone needs to read the program for State Convention and suggest chances.
Minutes 5/19/20
Sonia, Ahna, and Magis have written a tentative program for convention, which they will share with the board for edits. There are some unknowns regarding Nationals. Magis suggested that a board member connect with NJCL to find out what is happening when. We need to find out the deadline for preconvention and the logistics of the dates/time for the online convention in July. Sonia will email Claire to ask if she will do this. We need this information before we start encouraging people to attend.
Victoria is working on the Nuntius. She has been adding a lot of puzzles to make up for lack of content from the State Convention. She will share the final product with Magis for Magis to edit.
There was nothing important to report from the State Board Meeting. We need to relay news about state convention. Sonia and Magis will send out emails.
This Friday, May 19th, is the due date for submitting articles to the May Lorica. Ahna will take over writing Sonia’s article. Magis will send Kayla the list of awards and her odes to the Seniors. Kayla has not received any articles yet, but when people write their officer farwells/other articles, they should be sent to her and not to Peridot.
Sophie is trying to figure out if the evening of June 5th is available for the banquet. She emailed Chris Young to find out of that date works. Sophie and Victoria will take the lead in running the banquet. Ahna will make a slideshow for the banquet with photos from this year. Magis asked if any of the seniors could make a dance/vocal/musical tribute to share at the banquet. For food, Magis suggested that everyone eats Italian food at the same time to mimic a normal banquet. We could also all have the same virtual background. Sonia and Magis agreed we don’t need a theme. Magis praised Ethan’s virtual background, and suggested that we follow his example.
Kayla told Magis that her phone number on the master list of JCL phone numbers is incorrect. Magis fixed it.
Magis reminded everyone that Paideia has summer courses for Latin, English, and beginning Greek.
Minutes 5/12/20
Ethan shared the meeting agenda with Sonia. Welcome to all the new officers! Claire will post on social media about new officers. Everyone who is new will have a big role in convention. Ahna shared the list of committee members. We still need a head for Agora, chess, decorations, graphic arts, videographer, and workshops. Evan Kitt will do more research about cheap and accessible virtual reality rentals. He will start a spreadsheet with company and cost. Magis will ask Allie to work on decorations and signage. She also needs to find someone for treasure. She will ask Mr. Morris for recommendations and for someone to run chess (maybe Henry K). Sophie Reynolds came to the meeting. She gave us the Twitter and instagram passwords. Lucas Allard will do workshops. We want That Entertainment to be bigger at the Convention; maybe we could move other events away from Saturday night.
Kayla will work on the next Lorica with Peridot helping her. We will assign articles now. Magis will look for a package with NLE awards. She will give the list to Kayla for the Lorica.
Nationals is planning an online convention during the same week it would have been. Sonia will write an article on Nationals once we get more information. Ethan will compile a list of seniors and their college destinations for the Lorica.
Sonia and Ahna will have a meeting with Magis (maybe with Sophie and Victoria as well).
Sophie will find a date for a virtual banquet sometime in June.
